Fundraising CS

The Fundraising Subcommittee Chair, or his/her designee, will:

  • Develop and implement strategies for soliciting individual, corporate, and agency contributions. In each case, target lists should be compiled, AFS members designated to make the needed contacts, schedules defined and appropriate recognition given.
  • Work with the AFS Executive Director, the AFS President, and the Western Division to ensure no duplicate solicitations. (Contributions from national and international sources are the responsibility of the AFS office).
  • Be responsible for setting preliminary and final fundraising goals in concert with the LAC co-chairs and budget and finance subcommittee.
  • Define opportunities for event sponsorship in conjunction with the annual meeting.
  • Solicit additional vendors for the Trade Show and coordinate with the staff AFS Trade Show manager.
  • Make every donor/sponsor feel adequately recognized and that they are getting good value for their contribution.
  • Make a list of events, with tentative costs, that can be passed on to prospective sponsors.
  • Solicit in-kind donations of supplies and/or labor that would otherwise be an expense of the conference.
  • The Fundraising Chair will also organize a several Subcommittees:
    The Raffle Subcommittee: Chair and his/her assistants will, in coordination with the Fundraising Chair:
  • Solicit a large number of raffle prizes, with at least several “grand” prizes.
  • Coordinate with the Socials subcommittee to allow time in the program and space for the raffle.
  • Coordinate with Fundraising Chair to ensure recognition of all prize donors.
  • Assign people to assist with conducting the raffle, tracking winners, and ensuring winners receive their prizes.
  • Ensure that all prizes are distributed to winners.
    Trade Show Liaison Subcommittee: The Trade Show Subcommittee Chair, or his/her designee will, in coordination with the Fundraising Chair:
  • Serve as liaison to AFS staff or their contractor, who have primary responsibility for the trade show.
  • Assist in recruiting regional exhibitors to the show.
  • Help with local arrangements for equipment and materials needed by exhibitors.
  • Assist AFS staff with on-site management of trade show exhibitors during the meeting. See Appendix A for further specific instructions regarding the Trade Show.
    T-shirt Subcommittee
  • Coordinate with the Fundraising Committee and the Logo and Artwork, Student T-shirt, and Spawning Run subcommittees to design four different conference t-shirts: shirts for sale by students; conference organizer polo shirts; volunteer t-shirts; and spawning run t-shirts.
  • Make arrangements for ordering the anticipated number of shirts required
